1. Introduction

Vetrify ("we," "us," or "our") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services.

2. Information We Collect

We may collect the following types of information:

• Personal Information: Name, email address, phone number, and military service information you provide
• Health Information: Information about medical conditions related to VA disability claims
• Account Information: Login credentials and account preferences
• Usage Data: Information about how you interact with our services
• Calculator Email Information: If you ask us to email a calculator result, we collect the email address, calculator inputs and estimate, a calculator session identifier, available referral or campaign information, and your separate marketing consent choice
• Device Information: Browser type, IP address, and device identifiers

The In-App Use Record

Inside the signed-in app, we keep a record of which parts of the app you use. It tells us whether the app helps veterans move their claims forward and come back to them. Each entry is one act from a fixed list, saved with the time it happened: a road step marked done or undone (its number and chapter), which kind of date was recorded, which confirmation the app showed and whether it followed your own press, how many facts a “since your last visit” line held, a stopping point taken, the road opened, which tool was opened and whether from a step, “Back to the step” tapped, which of four answers you gave about where your claim stands, a practice tool used, a paper added or removed, a condition tab added or removed, the start of a visit with your screen’s size group (phone, tablet or desktop), and how long a screen took to respond to a tap.

The record never holds a condition name, a diagnostic code, a rating, a percentage, a dollar figure, a date you entered, or anything you typed. Entries are linked to your account. Whether a visit uses Calm or your device’s reduced-motion setting is counted separately, by day, with no link to any account.

You can turn the record off in Settings. Turning it off deletes the entries already held for your account and stops new ones on every device you sign in on. “Download a copy” in Settings includes your entries. Deleting your account deletes them. Entries more than 13 months old are deleted each time new entries are saved.

3. How We Use Your Information

We use the information we collect to:

• Provide and improve our VA disability claims assistance services
• Personalize your experience and provide relevant recommendations
• Communicate with you about your account and our services
• Send a calculator result when you request it and keep a record of that request
• Respond to your inquiries and provide customer support
• Analyze usage patterns to enhance our platform
• Comply with legal obligations

4. Information Sharing

We do not sell your personal information. We may share your information with:

• Service Providers: Third parties who help us operate our platform
• VSO Partners: VA-accredited representatives if you request their assistance
• Legal Requirements: When required by law or to protect our rights

5. Sub-processors and Tools We Use

We rely on a small set of third-party providers to run Vetrify. These providers process data to operate, measure, and deliver the service:

• Firebase Authentication: account sign-in and identity
• PostgreSQL (self-hosted via Railway): profile data, saved conditions, claim progress, Accelerator intake, and calculator result-email records
• Stripe: payments and subscription management
• PostHog and Google Analytics: product and site analytics (anonymized where possible) to understand which features are useful
• Resend: transactional email delivery, including account, calculator result, and Claim Accelerator emails
• Loom: used to deliver Claim Accelerator video reviews

6. Calculator Result Emails

Our public calculators show their full estimates without requiring an account or email address. If you choose to email yourself a result, we store the submitted email address, calculator inputs, estimate and breakdown, calculator session identifier, available referral or campaign information, consent choice, and submission time. We use this information to deliver the requested email and maintain an operational record of the request. We provide the destination address and result-email content to Resend for delivery.

The result email itself is a transactional message that delivers what you asked for. Submitting the form also adds your address to our marketing list, and the form says so above the submit button before you send it. We may then send occasional Vetrify updates and practical VA disability education. Every one of those messages carries a one-click unsubscribe link, and opting out stops all marketing email from us while leaving transactional messages you specifically request unaffected.

7. Claim Accelerator Data

When you purchase the Claim Accelerator, you submit an intake form that may include service history, current rating, conditions, evidence notes, and C&P details. We use this data only to:

• Prepare your personalized educational review (Loom video and PDF)
• Deliver the review to you by email
• Keep a record so you can re-access your deliverable and request follow-up clarifications

You may request deletion of your intake data and delivery artifacts at any time by emailing privacy@vetrify.ai. We will process the request within 30 days and confirm by email.

8. Data Security

We implement industry-standard security measures to protect your information, including encryption, secure data storage, and access controls. For more details, please see our Data Security page.

9. Your Rights

You have the right to:

• Access and receive a copy of your personal data
• Request correction of inaccurate information
• Request deletion of your data
• Opt out of marketing communications
• Withdraw consent where applicable

10. Cookies and Tracking

We use cookies and similar technologies to enhance your experience, analyze usage, and provide personalized content. You can control cookie preferences through your browser settings.

11. Children's Privacy

Our services are not intended for individuals under 18 years of age. We do not knowingly collect personal information from children.
